Coliving Financials, LLC ("Company," "we," or "us") takes your privacy seriously. This Privacy Policy describes how we collect, use, protect, and share information in connection with our bookkeeping and financial services provided to real estate operators, co-living property owners, short-term rental operators, multi-family property owners, and property managers (collectively, "Clients").

This Policy applies to information collected through our website, client onboarding forms, service agreements, and in the course of delivering our Services. By engaging our services or submitting information through our website, you agree to the practices described in this Policy.

1. Who We Serve

Coliving Financials provides bookkeeping and financial recordkeeping services exclusively to business clients engaged in real estate and co-living operations. Our Clients include, but are not limited to:

Co-living property owners and operators
Short-term rental (Airbnb, VRBO, etc.) operators
Long-term rental property owners and managers
Multi-family property owners
Single-family rental operators
Property management companies

We do not provide services to or collect information from consumers or individuals outside of a business/real estate operations context.

2. Information We Collect

2.1 Business and Account Information

To provide our Services, we collect business information including, but not limited to:

Business name, entity type, and ownership information
Contact details of authorized representatives (name, email address, phone number, mailing address)
Tax identification numbers and related tax information provided for engagement setup
Payment information (credit card, bank account details for ACH or electronic payment)
Login credentials and access information for third-party financial systems, banking platforms, property management software, and accounting platforms such as QuickBooks Online

2.2 Financial and Operational Data

In the course of providing bookkeeping services, we access and process:

Bank statements, transaction records, and account data
Revenue and expense records from property management systems, payment processors, and booking platforms
Financial reports, reconciliations, and supporting documentation provided by Client
Data generated by or transmitted through third-party systems used in Client's operations

2.3 Website and Communication Data

When you visit our website or communicate with us, we may collect:

Browser type, device type, operating system, and IP address
Pages visited and browsing activity on our website
Information submitted through contact forms, inquiry forms, or onboarding forms
Email correspondence and communication records
Phone numbers provided through website forms, subject to SMS consent as described below

Perform bookkeeping, reconciliation, and financial reporting services as described in your Statement of Work

4. SMS Communications & Consent

4.1 SMS Consent and Phone Numbers

Coliving Financials will not share, sell, or rent your mobile phone number or SMS opt-in data with third parties or affiliates for marketing or promotional purposes. By providing your phone number and checking the consent checkbox on our website forms, you give us your prior express written consent to receive text messages from Coliving Financials, LLC.

4.2 Types of SMS Messages

Document requests and authorization reminders
Scheduling confirmations and service updates

4.3 Message Frequency and Rates

Message frequency varies based on account activity. Service messages are sent as needed. Marketing messages, if opted in, may be sent up to four (4) times per month. Standard message and data rates may apply per your carrier plan.

4.4 Opt-Out

4.5 No Sharing of SMS Data

SMS consent and phone numbers are not shared with third parties or affiliates for marketing purposes. SMS consent is not a condition of receiving our services. No mobile information will be shared with third parties for marketing or promotional purposes. Information sharing with subcontractors in direct support of our services (such as customer service operations) is permitted.

5. How We Share Your Information

We will never sell your personal or business information to any third party. We may share information in the following limited circumstances:

Service Providers: We share information with vendors and subcontractors who assist us in delivering our services, including bookkeeping personnel, payment processors, and cloud-based service platforms. Such parties are bound by confidentiality obligations and may only use your information in connection with services performed for Coliving Financials.
Third-Party Financial Systems: Our services involve access to data within third-party platforms, including QuickBooks Online, banking platforms, property management systems, and booking platforms. Access is maintained solely for the purpose of performing bookkeeping services as described in your SOW.
Legal Requirements: We may disclose information if required by law, court order, government request, or regulatory process, or if necessary to protect the rights, property, or safety of Coliving Financials, our clients, or others.
Business Transfers: In the event of a merger, acquisition, or sale of company assets, your information may be transferred to a successor entity, subject to the same confidentiality obligations.
With Your Consent: We may share information for other purposes with your prior written consent.

6. Data Security

Coliving Financials maintains physical, electronic, and procedural safeguards to protect the information we hold. This includes secure access controls for financial systems, encrypted communications, and limited access to Client data on a need-to-know basis.

While we take reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security. In the event of email communications, we note that emails can be intercepted by unintended third parties; we disclaim liability for interception or unintentional disclosure of emails transmitted in connection with performing our services.

7. Record Retention

We retain records related to client engagements for seven (7) years for discontinued clients and indefinitely for ongoing clients. Financial records and working papers created in the course of your engagement remain the property of Coliving Financials as part of our work product, consistent with our Terms & Conditions. All original Client documents provided to us remain your property and will be returned upon request.

8. Third-Party Links and Platforms

Our website may contain links to third-party websites for your convenience. These links do not constitute an endorsement of such websites. We are not responsible for the content or privacy practices of external websites. Similarly, our services may involve third-party platforms (QuickBooks Online, property management systems, booking platforms). Client's use of such platforms is subject to those platforms' own terms and privacy policies. Company assumes no liability for third-party platform practices.

9. Accessing or Updating Your Information

Clients may request access to, correction of, or deletion of information we maintain about them by contacting us at info@colivingfinancials.com. We will respond to requests within a reasonable timeframe. Note that certain information may be retained as required by law or for legitimate business purposes even after a request for deletion.

10. California Privacy Rights

If you are a California resident, California's "Shine the Light" law (Civil Code Section § 1798.83) may provide you with additional rights regarding our disclosure of personal information to third parties for direct marketing purposes. 11. No Warranties

This Privacy Policy is governed by the laws of the State of Florida. Any disputes arising under this Policy shall be brought in state or federal courts located in Palm Beach County, Florida.
